List & Columns

List & Columns defines what a module’s list table shows: which columns, in what order. It is the layout of the operational list (Contacts, Tasks, Opportunities…), not of the form Card and not of report Charts.

Changes are organization-wide. To create fields use Fields; for the form use Card.

 

What it is for

  • Work in the list — status, assignee, amount, labels without opening every Card.
  • Include custom fields — fields created in Fields appear among the available columns.
  • Align the team — the same grid for sales, support, or operations.
  • Reduce noise — fewer useless columns, less horizontal scrolling.
  • Support filters — what is in a column is easier to read while you filter and sort the list.

 

Where to open it

  • Organization settings → area hub → entity settings → List & Columns card.
  • List page → ActionsEdit columns (where available).

You need a Member role (or higher) and a suitable Premium plan to drag and save. Check availability on your plan.

 

How the editor works

  • Visible columns — order = order in the list. Some key columns may be fixed (e.g. Name on Contacts) and not removable.
  • Available columns — not shown yet; there is often a search.

Drag (or + / ×) to add, remove, and reorder. Then Save (whole org) or Reset (Mokapen default).

 

Custom fields as columns

After you create a field in Fields, it appears among the available ones (title = label). Add it and save. Putting it on the Card alone is not enough.

Watch reserved data — if a field has Visible only to users/teams, consider whether to expose it in the list: the grid is meant for everyday work by several people. When in doubt, leave the field only on the Card under an internal block.

Types that work well as columns: Dropdown, Date, Amount, Number, Switch, User/Team, Entity. Long text in a column is awkward (truncation).

 

How to build a good list

  • Left — identifier (name/title) + status/stage + assignee.
  • Center — operational metrics (amount, due date, priority).
  • Right — labels, last update, “control” custom fields.
  • 5–10 columns often beat 20 narrow ones.
  • After Reset, put custom columns back: the Mokapen default does not include them.

 

Which entities

Contacts, Companies, Tasks, Projects, Tickets, Opportunities, Quotes, Orders, Products, Services.

  • Appointments — Columns settings OK; on the list, Actions → Edit columns may be missing.
  • Documents — may show as Coming soon.

 

What List & Columns is not

  • Card — form layout.
  • Report ChartsCharts on Report (Opportunities/Tasks/Projects).
  • Customization — Home and personal user/team filters.
  • Pipeline — kanban stages.

 

Practical tips

  • Custom columns only if the team checks them in the list every day.
  • Coordinate with people who use saved filters: changing columns does not delete filters, but it changes what you see at a glance.
  • Align field labels (Fields) with column headers: avoid “Settore” on the form and “Industry” in the list.
  • For at-a-glance KPIs on Opportunities/Tasks/Projects use report Charts, not 15 numeric columns.

 

Use cases

  • Sales Contacts list — Name, Company, Email, Phone, Labels, Industry (custom), Last update.
  • Opportunities list — Title, Stage, Amount, Close date, Owner, Source; margin not in the list if it is reserved.
  • Tickets list — Code, Priority, Status, Customer, Assignee, VIP (switch).
  • Sprint Tasks list — Title, Priority, Due date, Project, Owner, Time.
  • Products list — Name, Code, Price, supplier custom — few columns for a fast warehouse view.
  • “Quality control” view — temporarily add audit columns, then Reset or slim down again.

 

Frequently asked questions

Q: The field is on the Card but not in the list.

A: Normal. Add it here and save.

 

Q: If I change the columns, do colleagues see them?

A: Yes. Organization layout.

 

Q: Why can’t I remove the Name column?

A: Some columns are fixed (minimum identifier).

 

Q: I can’t find the custom field on the right.

A: Check creation in Fields, reload, use search. Check plan and permissions.

 

Q: What does Reset do?

A: Mokapen default columns; custom ones must be added again.

 

Q: Is it the same as Charts in Report?
