Book a service or product

This public page lets the customer choose what they want (an item from the Sales catalog) and, if you want, when. Mokapen receives the booking — not an appointment on a salesperson’s calendar, not a simple “please contact me” message.

The template is called Book a service or product: in the same block you offer bookable services (60-min consulting, installation, a course, a treatment) or products with a date/time (rental, pickup, on-site trial). For “a call with Mario” use Appointment booking. For “write to us” use the contact form.

The convenience is all here: the catalog is already in Sales; the form is the public channel. Duration and seats live on the service/product record — do not reinvent them in the form. The customer books, you work the booking like all the others — same status, same contact, same Bookings calendar. No second tool, no inbox of “I’d like the 10 o’clock cut”.

 

What it is for and why it helps

The problem is not “having a calendar on the site”. It is that the catalog lives in the CRM and online booking lives somewhere else. Mokapen closes the gap:

  • From catalog to slot in one step — the customer does not need to know who is on duty: they pick the service or product, then the date. You stay in Mokapen, not on WhatsApp.
  • Seats and duration already on the list — slot duration and capacity (how many bookings in the same time) live on the record in Sales. The form respects them; when the slot is full, it disappears. Do not duplicate the hours in a separate spreadsheet.
  • Calendar yes or no — on this template you can add or remove the datepicker. With calendar: real self-service (date and time). Without: you are collecting a request (“I want this service”) that you work in Bookings. The appointments template does not let you remove it: there the slot is mandatory.
  • Statuses you already know — in the Bookings calendar you work Confirmed / Pending / Rejected, like bookings created by hand. On create, the form starts with status Confirmed: the customer sees the slot closed. If in the org the first status of the field is another one, Mokapen can follow that: check on a test booking before you promise “you are already confirmed” or “we will get back to you”.
  • Contact attached — the form’s email and name become the address-book record, linked to the booking, with form source. Same anti-duplicate rule as the contact form.

In short: you use this page to get a catalog item booked. You use appointments for a person’s time. You use the contact form for a message with no slot. It is not an e-commerce cart and it does not create a sales order from the form (that checkbox in the editor is disabled): quotes and orders stay in Sales; you link them afterwards if you need them.

 

How to access it and limits

  • User menu → Forms → filter Book a service or product (or New form with that template).
  • You need Forms, Bookings and the Sales catalog. In the block only services (or products, depending on the type) marked bookable on the record appear. Empty list in the select = go back to Sales and enable booking, plus duration and daily availability on that item.
  • Align closings and the service slots before you publish, or the public calendar will be empty or full of times you cannot honor.
  • The plan’s form cap also applies here. Meet and Teams are not on this template: video from a form belongs to the appointments page (person as host). Here the “where” is the catalog slot (and the address/location you have on the service or in the block description).

 

List page

Cards with internal title, type badge, form code (slug), Online/Offline, View or preview, three-dot menu (Edit, Duplicate, Delete). Same logic as the contact form: duplicate for a second catalog or another location; delete removes the page, not the bookings already created.

 

Creating the page

  1. New form → Book a service or product. Internal name, notification email (who should see the requests arrive). Mokapen puts title, email/first name/last name, booking block (first bookable service if there is one), privacy and the booking thank-you. Calendar on by default; type services; single choice (radio); generate booking yes.
  2. In Content open Bookings. Type: Services or Products — one of the two per form, not both. Add the items you want on the page (label visible to the customer, even if it differs from the internal title in the catalog).
  3. With two or more items the mode appears: multiple choice (checkbox) or single choice (radio). Radio if the customer must take one (a treatment, a course). Checkbox if they can combine more than one in the same submit (two services in the same window, if the process can handle it). Do not tick “multiple” out of habit: two items in the same slot without capacity is an operational disaster.
  4. Description of the block — two lines on what they are booking (not the whole catalog: that is the items below).
  5. Calendar — Add / Remove calendar button. For self-service, leave it. Remove it only if you want a request with no time (“we will call you back for the slot”): then the success text must not say “you are on the calendar”.
  6. Contact fields, privacy, reCAPTCHA, success page, confirmation email: same logic as the contact form. Then Settings → ONLINE, URL or snippet.

 

The form does not invent the catalog. Every row you add is a service or a product already bookable in Mokapen:

  • Services — slot duration, capacity (seats in the same time), availability per day, optional location. Typical: consulting, training, on-site visit, haircut, session, installation. Mark bookable only what you really want to offer online: the rest of the catalog stays for quotes and orders, not on the form.
  • Products — the same idea when the object is an item with availability at a date/time (car trial, kit pickup, equipment rental). It is not a cart: it is a slot on that product. Quantity, stock and invoice do not go through here.

The times the customer sees depend on the item’s slots in Sales and the organization’s closings. If in the editor the select is empty, go back to Sales → Services (or Products) → enable Bookable, set duration and time windows. If the public calendar is empty but the select is full, the problem is availability/closings/capacity, not the form.

Do not mix “call with a host” and “catalog service” in the same form: you change the block type and you change the entity created (appointment vs booking). Two pages, two URLs, two jobs.

Meet/Teams on the public form belong to the appointments template. On services/products do not tick a video channel the editor does not offer: if the session is a video call, either use the other guide (person as host), or add the link by hand afterwards, or explain it in the description (“we send the Meet link on confirmation”). Do not promise automatic meeting generation from this form.

 

Publishing: status, URL, embed

ONLINE, URL on the site, ads, WhatsApp, QR in store. Snippet if you want the form on the service page. Preview with a test submit to your own address — check the contact record, the booking on the calendar, status, notification, confirmation email.

Before you open it to the public: bookable catalog, closings, form copy and thank-you text. If the status is Confirmed, say “you are on the calendar”. If you confirm by hand (or the org status is Pending), say “we will confirm the slot” — the customer must not believe it is closed if you then reject it. Tracking and hidden fields: like the contact form.

Do not change the slug once the page is already in a campaign. Duplicate for a second catalog (another location, another seasonal list).

 

What happens after submit

  • Form log with the items chosen, date/time (if the calendar was there), contact fields.
  • Contact created or updated (email on Email 1/2/3, no duplicate if one already exists and is not archived). If they filled in the company field, Mokapen looks up or creates the company by name and links it.
  • Booking in Mokapen, linked to the contact and the items chosen, with date/time if the calendar was in the form. Status: the form’s (on create: Confirmed) or, if missing, the first status of the org field. Source form_ + page id.
  • Notification to the form emails; confirmation email to the visitor if you wrote one; success page or redirect.

From there the work is that of the Bookings guide: confirm or reject if needed, move, link a deal, archive. Automations on the form (task, deal, ticket, update contact) stay available as on the other forms; for delays and conditions use the Automations module with this page’s slug.

A sales order does not start from this page. If you need the order, you create it in Sales from the record, afterwards.

 

Recommended process

  • In Sales: mark bookable, duration, capacity, time windows. Then the form. Reverse the order = empty select or empty calendar.
  • Start from one item as radio. Add the second only if the customer really must choose. Checkbox only if two services in the same submit are a real process.
  • Decide calendar yes/no based on who sets the time: the customer (datepicker on) or you (off). Align the success text.
  • Test Offline: one booking to your own address, check status, capacity (retry the same slot), notification. Then ONLINE on one channel (site or QR), not on three ads the same day.
  • After a week: no-shows, full slots, items nobody picks. Take off the form what does not get booked; do not lengthen the catalog.

 

Use cases

Here the customer picks a catalog item, not a person. If the question is “who am I meeting?”, use the appointments guide.

  • Studio or consulting, a catalog slot — You sell “60 min consulting”, not “a call with Luca”. In Sales the item is bookable, duration 60, capacity 1, real hours. On the form that one item, calendar on, status Confirmed, notify reception. The customer books, you see it in Bookings. If the consulting is Luca and nobody else can do it, it is not a service: it is an appointment with Luca as host. The services form makes sense when the slot belongs to the catalog, not to the person.
  • Service centre with several treatments — Cut, colour, blow-dry: must the customer pick one per visit? Radio, one item at a time, calendar on, org closings aligned. Can they combine two in the same hour and the service capacity can take it? Checkbox — and you asked that for real, not “so it is more flexible”. Two treatments on the same window with capacity 1 = a double booking and one room. Start with radio; multi-select only if that is how the centre actually works.
  • On-site product trial — The object is an article (a car, a machine, a kit), not an hour of a person. Block type: Products, one bookable item, datepicker on. Where to show up: in the block description or on the product record, not a ghost Meet. The form creates a booking, not an order and not an invoice: sales closes the piece afterwards, in Sales.
  • Rental or a session longer than the slot — The form collects a start (datepicker date/time). If the rental is three days, you set the period on the booking record afterwards: the public form is not an e-commerce from/to range. Duration and address live on the service. Do not promise “pick from / to” on the page if the calendar shows a single slot.
  • Request with no time (you call back) — Remove the calendar. The customer picks the service and leaves their details; you set the slot. Success text: “we will call you to confirm the time”, never “you are on the calendar”. Task to reception. Useful when availability is too irregular for the datepicker, or when you want to filter requests before occupying the room. It is not self-service: say so in two lines at the top of the form, or people will look for a slot that is not there.

 

Practical examples

1. One service, one URL, one QR in the window

In Sales open “60 min consulting”, mark it Bookable, Mon–Fri 9–18, capacity 1. Then Forms → Book a service or product, that one item, single select, calendar on, notify reception@. Offline: you book it yourself, check the booking is on the calendar, status Confirmed, contact in the address book. ONLINE, QR in the window, success: “You are on the calendar, we look forward to seeing you”. Resist putting ten services “because they are there”: each extra item is another decision and a slot you then fail to honour. If after a week nobody picks “3-hour audit”, take it off the form, not off the catalog.

2. Two locations, same catalog — watch the seats

Clone the form. Same items, different description (“Milan” / “Rome”) or a hidden location, two slugs, two QRs. If capacity lives on the service record, both forms book the same seats: a full slot in Milan fills Rome too. If the locations have separate rooms, the catalog needs two bookable services (or products), one per location, each on its own form. Otherwise you reject by hand and the customer who saw Confirmed gets angry. Test both URLs at the same time and see if the second slot disappears: that is how you find out you are sharing capacity without meaning to.

3. Booking and deal are two records

The form creates the slot. Sales, if that visit can become a customer, wants a deal. Automation on the form: tag “Website booking” and, only if there is a company, a deal in the Inbound pipeline. Do not merge the two: in Bookings you work the time (move, reject, no-show); on the deal you work the sale. A “prepare the room” task belongs on the booking or the contact, it does not replace the deal. Do a test submit and open all three cards (contact, booking, deal) before you publish, so you see what is actually created.

 

Frequently asked questions

Q: There is no service (or product) in the select.

A: Only bookable catalog items. Sales → Services or Products → enable Bookable, duration and time windows. Then reload the form editor.

Q: Is this a sales order?

A: No: it is a booking (slot). Quotes and orders stay in Sales; you can link them afterwards from the record. The “Create an order” checkbox on the form is not available.

Q: The customer booked but I see nothing on the calendar.

A: Form ONLINE? Log on the contact record? Bookings app active and permissions? List/calendar filters (dates, status, archive)? Snippet/URL of this form (slug)?

Q: I want automatic Meet.

A: Meet/Teams from a form belong to the appointments template (person as host). On services/products the channel is the catalog slot. For a video call with sales, use the other guide.

Q: Calendar empty but the service is there.

A: Service time windows, org closings, capacity already full, datepicker turned off by mistake. Check a weekday further out, as on appointments.

Q: Can I put services and products together?

A: One form, one type in the block (services or products). Two pages if you need both.

Q: The status is not what I expected.

A: Default on create: Confirmed. If the org has a different order on the status values, Mokapen can use the first status of the field. Do a test submit and read the record before you write the thank-you.
