OneDrive

Connect OneDrive to Mokapen to attach files from CRM records (contacts, deals, tickets, projects…) and, if you wish, save to the cloud files uploaded from your computer instead of storing them only on the Mokapen server.

General overview: Integrations.

 

Requirements

  • Microsoft account with available OneDrive storage.
  • Permission for Mokapen to access files the app creates or opens on OneDrive (not your entire drive contents).

 

Connect OneDrive

  1. User menu → IntegrationsOneDrive.
  2. Click Sync OneDrive.
  3. Sign in to Microsoft and Allow access to files managed by Mokapen.
  4. Configure preferences and sharing (only the user who connected sees those sections).
  5. Click Sync at the bottom of the page.

If you do not accept, you will not be able to attach files from OneDrive or save uploads to the cloud.

 

What Mokapen requests from Microsoft

Mokapen requests access to files it creates or opens through the integration — not read access to your entire personal OneDrive. This is needed for the dedicated folder, uploads, and opening attachments from CRM records.

 

Preferences

  • Save computer files to the cloud (switch on): files uploaded from your PC also go to your OneDrive, not only to Mokapen.
  • Dedicated folder: Mokapen creates or reuses a folder named App name – Organization name and places linked files there, so you can find them grouped on OneDrive.

 

Sharing with the team

  • Enable for other users — colleagues or the whole org can use your OneDrive connection to attach files without signing in again. Useful for company OneDrive managed by one contact person.
  • Share all OneDrive files with members — when on, Mokapen files on OneDrive are accessible via shared link with org members; when off, permissions are more restrictive.

After each change, click Sync.

 

Daily use — attach files from a record

Open a record (contact, deal, ticket, project…), click the paperclip (Attachments) and choose the source. With OneDrive connected, two distinct modes appear:

 

1. From your computer (to OneDrive)

Menu item: Your computer on OneDrive.

  1. Select the file on your PC (or drag it into the upload area, where available).
  2. Mokapen uploads it to the OneDrive account linked to the integration — not only to Mokapen storage.
  3. If you enabled the dedicated folder in Integrations, Mokapen creates (or reuses) the folder App name – Organization name and places the file there.
  4. The file is attached to the record with a link that opens the document on OneDrive.

Benefits: the document stays in the org OneDrive (or the account shared with the team); you do not use Mokapen attachment storage; Microsoft backup and sharing remain available outside the CRM. Ideal for contracts, PDFs, and new files created on your computer.

 

2. OneDrive online — file picker

Menu item: OneDrive online.

  1. The Microsoft picker opens (OneDrive window).
  2. Choose one or more files already on OneDrive, or a folder.
  3. Mokapen does not re-upload the file from your PC: it links the record to the file (or files) on OneDrive, with a link to open it.

Benefits: no duplicate upload; you use documents already organized in OneDrive folders; useful for templates, presentations, or shared folders the team maintains on OneDrive. The file stays where you put it on OneDrive — Mokapen only adds the CRM link.

 

Which to choose?

  • New file from your PC → «Your computer on OneDrive».
  • File already on OneDrive → «OneDrive online».

If the OneDrive integration is shared with colleagues, both options use the active connection for the org (yours or the shared one), so attachments point to the same company archive.

Removing an attachment from the Mokapen record does not delete the file on OneDrive. If a file disappears from OneDrive, the link in Mokapen may stop working — in that case disconnect and reconnect the integration or replace the attachment.

Common issues

  • Upload error — file too large, unsupported format, OneDrive storage full, or permission revoked. Reconnect the integration.
  • Colleague cannot see settings — only the user who created the connection can change preferences and sharing; others use the shared account if enabled.

 

Disconnect

Click Disconnect and confirm by typing the requested word. In the window you can choose what to do with existing OneDrive attachment links in Mokapen.

Options in Mokapen:

  • Standard disconnect (switch «Remove all links…» off) — you only revoke the account connection. Attachments with OneDrive links remain on records in Mokapen, but without an active integration the links may stop working until you reconnect or replace the attachments.
  • Remove all OneDrive file links from Mokapen (switch on) — Mokapen removes from the org references to OneDrive attachments (records linked to that sync). Files are not deleted on OneDrive: they stay in the cloud; only the CRM links disappear.

In any case, documents on external OneDrive are not automatically destroyed by Mokapen. To free space or close an archive, act directly on OneDrive.
