Locations

Locations are the physical places of your organization in Mokapen: legal office, branches, shops, warehouses, hubs. Each location has a name, address, ZIP code, city, and country. They serve primarily the HR modules (Shifts and Presences) and their reports: you assign people and hours to a specific place.

You find them in Organization settings → GeneralLocations tab. Do not confuse them with the location in the Information profile (a single "showcase" address): locations are a multiple operational list.

 

Where to find it and who can edit

Menu OrganizationGeneralLocations.

  • Member (and above) — can create, edit, and delete locations.
  • Owner — same capabilities; actions also appear in the Activity log.

No dedicated Premium plan is required for this tab.

 

Create, edit, delete

The list shows all active locations. Typical fields:

  • Name — a recognizable label (e.g. "Milan Central", "North Warehouse").
  • Address, ZIP, City, Country.

New location — button at the top: fill in the fields and save; it appears immediately in the list.

Edit — from the ⋯ menu on the row: update the fields and save.

Delete — confirm in the modal. Before deleting a location used in shifts/presences, check with HR: historical records may retain references no longer in the list or require reassignment based on the already-saved data.

 

Usage with Shifts and Presences

Without at least one location, HR planning lacks the "where". With multiple locations:

  • in Shifts you assign person + location + time slots; the grid can group by Location→User or User→Location;
  • in Presences you log hours against the correct location;
  • in reports you analyse hours per location.

Even with a single location it is worth creating it with a clear name: filters and reports remain readable.

 

Locations vs closings vs profile address

  • Locations — list of operational places (HR).
  • Closing days — organization-level holiday calendar (not per location).
  • Location in Information — a single profile/Network address; it does not replace HR locations.

 

Use cases

  • Retail chain — one location per store; shifts filtered by location.
  • Office + warehouse — two locations; separate presences for front-office hours and logistics.
  • Single-location company — one "Headquarters" location to unlock the location select in Shifts/Presences.

 

Frequently asked questions

Q: How many locations can I create?

A: There is no counter on the page like for users/teams: create as many as you need and delete obsolete ones.

 

Q: Are closings per location?

A: No. See the Closing days guide.

 

Q: Do I need a location for quotes?

A: Locations are designed for HR. Quotes and orders use other data (currency, taxes, entity details).
