Attachments

The Attachments associate files with a Mokapen entity: contracts, briefs, screenshots, invoices, presentations. They stay in the record context (task, project, contact, ticket, deal…) so anyone opening the record finds relevant documents immediately, without searching email or personal drives disconnected from the CRM.

 

Role in the CRM

Attachments complement structured data and connections:

  • Deal / quote: signed PDF, specs, sent offer.
  • Ticket: error screenshot, log, vendor response.
  • Project / task: mockup, specifications, client-approved deliverable.
  • Contact / company: company register, NDAs, onboarding documents.

The numbered badge on the paperclip shows how many files are linked — a quick signal in list and Kanban.

 

Upload a file

  1. Open the entity record.
  2. Top bar → paperclip icon (Attachments).
  3. Choose the source:
    • Your computer — upload to the organization's Mokapen storage.
    • Google Drive or OneDrive (with active integration) — link cloud files without duplicating local Mokapen storage.
  4. Select the file and wait for completion.

On some records you can also drag and drop files onto the record area to start upload.

 

View and manage

In the Attachments menu: list with name, size and date. Open, download or remove from entity. Removing an attachment from the record does not necessarily delete the file on Drive/OneDrive if linked via cloud integration — it only disconnects the CRM reference.

On the Data tab (full page) the attached files section summarizes the same documents inline with comments and description.

 

Available space

Free plan organizations: limited online space (100 MB) for direct-upload attachments. Premium plans (Small, Medium, Large): expandable space. Check plan and usage in Organization info. For high volumes, prefer Drive/OneDrive integration and link files instead of uploading everything to Mokapen.

 

Cloning

When cloning tasks, projects, contacts, tickets, deals etc. you can include attachments in the copy (checkbox in the Clone modal). Watch total size: the modal may show total MB of files to duplicate. Deselect if the copy should be lightweight (structure only, no documents).

 

Recommended processes

  • Single source of truth: signed contract on the deal, not just in email — attachment + contact/company connection.
  • Tickets with evidence: require screenshot/log attached before closing technical tickets (checklist + file).
  • Project handoff: shared Drive folder + in Mokapen link/reference PDFs on the project.
  • GDPR / retention: remove obsolete attachments from contact records when no longer needed; consider corporate cloud for long-term archive.
  • Cloned templates: task template with internal instructions attachment, cloned for each new onboarding.

Attachments, Connections and comments form the operational «memory» of the CRM record.
